Empowering Clerks with Communication and Control 

  • Facilitates communication between the clerk and their citizens or groups.
  • Improves administration, by acting as a central core to which other systems and documentation may be linked.
  • Enables Event and time management using integral calendar system

It is an open database (based on a commercial system with around 1.5 million users) which is used to manage contacts with citizens and other organisations including phone, e-mail, letter and fax. It links with Word, Access, Outlook, Sage and other AdvantEDGE modules. Calendar appointment and time management functions are also included.

Details of facilities available include:

  • Note details of communications against individuals
  • Mark individuals with flags e.g. councillor, member of association etc
  • Search and produce reports for flagged individuals, groups or activities
  • Send and record, mail, fax or e-mail shots
  • Link Word documents or spread sheets to records
  • View linked software via "Citizen" screen e.g. Outlook, Sage, Time Sheets or Planning
  • Book dates and times for events
  • Incoming caller’s details automatically displayed (subject to phone system)
  • Software for single user plus two hours remote set up £200 plus VAT

User Objectives and Training

Training
It is anticipated that three remote training sessions of one hour duration each are likely to be required. A user manual will be supplied, and made available over web. 

Typical Training Objectives:

  • Open application
  • Enter citizen title, name, and contact details.
  • Apply tags (user defined fields) to citizen. E.g. councillor, member of local association etc
  • Enter notes against contact
  • Search for individual or group, by name, location or group membership
  • Search notes
  • Printing a note
  • Setting up a fax template
  • Import name and address details from AdvantEDGE Citizen to Word
  • Run a mailshot
  • Link word documents to individual records
  • Set up appointments in the Calendar
  • Set up hotlist tasks as reminders

Annual support

Accepted on the above basis, and only following training. Other services are chargeable at our standard rates.

Minimum PC specification

  • Pentium II, 64mb, with 100mb free disk space, and CD drive.
  • Remote support via pcAnywhere is recommended, for which a class 1 modem and an analogue line are required.
  • Linking to the telephone system requires TAPI compliant equipment and call line identification.
